Manage office reception area and provide administrative support to the General Manager as well as others in the Process Systems office, as needed. Manage reception area full time, including managing phone calls and greeting visitors. Screen incoming calls and correspondence and respond independently when possible. Develop presentations (utilizing PowerPoint) with minimal oversight. Prepare travel on an as needed basis. Prepare paperwork for visas and passports for staff. Maintain all necessary files both paper and electronic. Direct preparation of records such as agenda, notices, minutes, and resolutions for meetings. Maintain supplies for the office. Arrange internal / external meetings, programs, events, or conferences by identifying facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget. Manage calendar and independently schedule appointments as needed.

Participate in meetings as needed to take notes and track follow up. Compose and prepare confidential correspondence, reports, and other complex documents. Manage expense reports and vendor invoices. Provide professional and courteous service to team and customers.

Required Skills
  • High Level of computer literacy
  • Excellent Skills in all Microsoft Office Suites
